Job Seekers

We use your personal information because of what is known as our legitimate interests which are to help you find a job that will be suited to you and support you in that job. The type of information we use to do this is:


• Your name and contact details, date of birth, and gender 

• Details of your disability or disadvantage 

• Information about your health

• Your work aspirations

• Your benefits situation

• Your school and/or work history (including information about special educational needs)

• Information about your employment including salary information

• Any other information necessary to help us understand you and your work situation 

• Any criminal convictions you may have 

• Your nationality and/or immigration status

• Your ethnicity


We get this information from you directly, or from your employer, commissioner, care manager or another third party.

How long do we keep your information?

We keep this information about you for as long as you are signed up to a project or receiving advice or support from us, and for six years after that in case of any issues and to make our services better. 


Who do we share your information with? 

We share your personal information with our partners and other organisations that we work with to help you find a job and to support you in that job. We do not normally tell our partners information that means that can identify you directly, but if we do have to share information that identifies you (for example as a condition of funding) we will tell you and make sure you know the reasons for sharing that information, and the implications of not sharing it. We also share your information with our service providers (such as the people that help us with IT ). 


Your rights 

You can ask us: 

  • for a copy of the information we hold about you.
  • to correct or delete information about you.
  • to stop using information about you while we check if it's ok to do so. We will let you know if we can do this or not when you ask. 
  • to ask that your provided information be moved to a third party.

This is information about you that you give to us.


If you are an organisation that we work with

If you are an organisation that we work with (e.g. a charity, school, commissioner, employer, care manager, local community, funding organisation, partner or other organisation) (together "Partners"), we will collect information that you give to us, either by filling in forms on our site or corresponding with us by phone, e-mail, post or otherwise. The subject of this information may include your staff, your clients, partners and other organisations that you work with. 


It also includes information that you provide when you use our site, subscribe to one of our service, fill out a referral or contact form through our site, submit a query about your staff or when you report a problem with our site. 


Where you apply for a position at Ways Into Work 

Where you apply for a position at Ways Into Work via our careers' website, information may also include employment details, information from your CV or resumé and any other details of your employment history, that are in connection with an advertised job vacancy or general enquiry regarding employment opportunities with us.


Information we collect about you from your use of our site 

We will automatically collect information from you each time you visit our site. This includes:

This is information we receive about you and includesInformation from third parties that we work closely with, such as your referral agency, school, previous employer or our clients and partners.

We work closely with third parties (including, for example, business partners, sub-contractors in technical services analytics providers, and search information providers).   • Analyse our Partners' business needs and in particular the challenges they face with recruitment, retention and diversity in their workforce.
  • Respond to challenges and demands in a collaborative way by keeping our Partners (e.g. commissioners) informed of cost benefit analysis data and initiatives that could benefit them and our mutual client base.
  • Take steps in order to enter into any agreement or carry out our obligations arising from any agreement entered into between you and us including performing our employment advice services.
  • Ensure in our legitimate interests (being the operation of Ways into Work and our site) that:
  • We consider job applications. 
  • content from our site is presented in the best way for you and for your computer. 
  • we provide you with the information and services that you request from us.
  • Information we collect about you from your use of our site

We will use this information in our legitimate interests (being the effective running of our site), where we have considered these are not overridden by your rights:

We may share your information with selected third parties, including our service providers, partner organisations and advisors.


Our selected third parties may include:

  • Organisations who process your personal data on our behalf and in accordance with our instructions. This includes support of the services that we offer through the site, in particular those providing website and data hosting services, distributing any communications we send, facilitating feedback on our services and providing IT support services from time to time. These organisations (which may include third party suppliers, agents, and/or sub-contractors) will only use your information to the extent necessary to perform their support functions.
  • Analytics and search engine providers that assist us in the improvement and optimisation of our site and subject to our cookie policy (this will not identify you as an individual).

How we protect your information

We use both password-controlled computer-based and lockable paper-based filing systems for keeping information. All information you provide to us is stored on our secure servers. 



Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.


Our site may, from time to time, contain links to external sites. We are not responsible for the privacy policies or the content of such sites.

Aggregated Data

We use aggregated data (such as statistical data) to help us analyse our effectiveness, to report to our funders and commissioners and to understand how visitors use our site (including behaviour patterns and the tracking of visits across multiple devices), provide more useful information to our customers, and understand which of our services are of most interest. Individuals cannot be identified from aggregate data.

  • to stop or restrict using your information while we check if it's ok to do so
  • to not send you any marketing 
  • to ask that your provided information be moved to a third party

Any changes we make to our privacy policy in future will be posted on this page and, in relation to substantive changes, will be notified to you by e-mail. This policy was last updated in March 2021.
